This Privacy Policy explains how ClipMind ("ClipMind", "we", "us", or "our") collects, uses, stores, shares, and protects information when you use the ClipMind website, application, APIs, and related video understanding, editing, voice, billing, and support services (the "Service").

If you do not agree with this Privacy Policy, do not use the Service.

ClipMind is the controller of the personal information described in this policy, except where we process information on behalf of another organization under a separate written agreement.

EU and UK Representative

Information We Collect

We collect information in the following categories.

Account and Authentication Information

When you create an account, sign in, or use account features, we may collect:

• email address;
• nickname, display name, avatar, locale, and account preferences;
• password hash if you register with email and password;
• authentication provider, sign-in method, sign-in IP address, and sign-in timestamps;
• session identifiers and security tokens;
• invite codes, referral relationships, API keys, and account status;
• two-factor authentication status and backup codes where applicable.

If you sign in with Google, ClipMind requests the openid, email, and profile scopes. We use these scopes only for authentication and account creation. Depending on the information Google provides, we may receive your Google Account ID, verified email address, name, profile picture, and locale.

User Content and Project Data

ClipMind is an AI video workflow product. When you use project, upload, understanding, editing, export, voice, or agent features, we may collect and process:

• uploaded videos, audio tracks, source filenames, duration, resolution, file metadata, and upload status;
• extracted audio, frames, thumbnails, scene segments, transcripts, speaker timing data, bounding boxes, entity candidates, visual embeddings, clusters, and project indexes;
• prompts, editing instructions, agent messages, timeline state, reverse scripts, summaries, labels, dialogue excerpts, and generated editing plans;
• voice samples, selected voices, custom voice profile metadata, narration text, generated voice previews, and generated audio where you use voice features;
• export manifests, rendered files, download links, task status, and error messages;
• project names, settings, tags, notes, archived/deleted state, and audit events.

Your User Content may contain personal information about you or other people. You are responsible for having the rights, notices, and consents needed to upload, process, edit, clone voices from, or publish that content.

Information About Third Parties

If you submit User Content that includes information about other individuals (such as their voice, image, likeness, or personal data), you represent that you have obtained all necessary consents and provided all required notices to those individuals, including making them aware of this Privacy Policy. We may process such third-party information solely to provide the Service as directed by you.

Billing and Commercial Information

If you purchase a plan, subscription, or minute bucket, we may collect:

• plan key, product name, price, currency, billing interval, granted minutes, remaining minutes, expiration date, and usage debits;
• order number, checkout identifier, provider order identifier, customer identifier, subscription identifier, payment status, paid email, paid timestamp, and webhook event records;
• tax, invoice, refund, cancellation, and customer portal information when provided by our payment processor;
• billing address and country for tax determination purposes.

Payment card numbers and other full payment credentials are handled by our payment processor. ClipMind does not intentionally store full card numbers.

Device, Usage, Log, and Analytics Information

We may collect information automatically when you use the Service, including:

• IP address, approximate location derived from IP address, browser, device type, operating system, referrer, pages visited, links clicked, and timestamps;
• request IDs, API route activity, task queue status, processing runtime information, rate-limit events, security events, and diagnostic logs;
• cookie, local storage, and similar browser storage data;
• aggregated or pseudonymous analytics events, including screen views, outgoing links, and product usage patterns;
• API endpoint call frequency, error rates, response times, and throughput metrics.

Support and Communications

If you contact us, we may collect your email address, message content, attachments, support context, and any other information you choose to provide. We may record or transcript support communications for quality assurance, training, and compliance purposes, with notice to you where required by law.

Sensitive Information

ClipMind does not intentionally collect or process sensitive personal information (such as racial or ethnic origin, political opinions, religious beliefs, health information, genetic data, biometric data for identification purposes, or sexual orientation) beyond what you voluntarily include in User Content. If you upload content containing sensitive information, you must have a valid legal basis and all required consents.

Voice features (including custom voice cloning and voice samples) may produce voice profiles derived from audio samples you provide. ClipMind processes such voice-derived data solely to provide the Service features you request and does not use it for identification, surveillance, or unrelated purposes.

How We Use Information

We use information to:

• provide, operate, maintain, and improve the Service;
• create accounts, authenticate users, maintain sessions, and secure accounts;
• upload, store, mirror, process, analyze, edit, render, export, and delete video projects;
• run AI features such as video understanding, speech recognition, transcript alignment, visual analysis, entity grouping, reverse-script generation, editing-agent planning, narration, voice previews, and custom voice workflows;
• process payments, subscriptions, cancellations, customer portal access, minute grants, minute debits, invoices, refunds, tax records, fraud checks, and billing support;
• provide customer support and respond to requests;
• detect, prevent, and investigate fraud, abuse, unauthorized access, security incidents, service misuse, and policy violations;
• comply with law, enforce our Terms of Service, and protect rights, safety, and property;
• understand product usage, diagnose errors, measure performance, and improve user-facing features;
• communicate with you about the Service, including service announcements, billing notices, security alerts, and support responses.

We do not use Google user data for advertising, retargeting, credit eligibility, lending decisions, or sale to data brokers.

Automated Decision-Making

ClipMind uses AI and machine learning to process User Content as part of core Service features. This includes automated analysis of video, audio, and text content to generate transcripts, scene detections, editing suggestions, voice outputs, and other derived results. Where applicable law requires, you have the right to object to solely automated decisions that produce legal or similarly significant effects. ClipMind does not use automated decision-making for creditworthiness, employment, or other high-impact assessments outside your directed use of the Service.

Machine Learning Model Training

ClipMind does not use your User Content, personal information, voice samples, transcripts, prompts, or project data to train, fine-tune, or improve third-party AI foundation models or large language models, except as expressly disclosed in a separate written agreement with you.

ClipMind may use aggregated, de-identified, or anonymized data that cannot reasonably be linked to you or your account for Service improvement, analytics, benchmarking, and research purposes.

Google User Data Disclosure

ClipMind uses Google Sign-In only to let users create and access ClipMind accounts.

ClipMind's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:

• we request only the Google identity scopes needed for sign-in: openid, email, and profile;
• we use Google user data to authenticate you, create or update your ClipMind account, maintain account security, and show account identity information in the Service;
• we store Google user data only as needed to provide account and security features;
• we do not sell Google user data;
• we do not use Google user data for advertising, retargeting, personalized ads, creditworthiness, or lending;
• we do not allow human access to Google user data except where necessary for security, support requested by you, legal compliance, or internal operations under confidentiality obligations;
• we share Google user data only with service providers where necessary to provide ClipMind, maintain security, comply with law, or complete a business transfer as permitted by applicable policy and law.

AI Processing and Third-Party Model Services

ClipMind may send User Content and derived project data to third-party AI, cloud, speech, vision, embedding, storage, and compute providers only as needed to provide user-facing product features.

Depending on the feature, this may include sending videos, audio, extracted frames, transcripts, prompts, voice samples, generated text, generated audio, or project metadata to providers such as Alibaba Cloud, DashScope, Qwen, CosyVoice, ASR services, Cloudflare, and compute runners used by ClipMind.

AI outputs may be incomplete, inaccurate, delayed, biased, or unsuitable for a particular use. You are responsible for reviewing outputs before relying on, publishing, or distributing them.

ClipMind updates this list as sub-processors change. Continued use of the Service after an update constitutes acceptance of new sub-processors to the extent permitted by law.

Cookies and Similar Technologies

We use cookies and browser storage for:

• essential authentication and security, including the clipmind_session session cookie;
• user interface preferences, such as sidebar state, workspace state, default voice selection, and local project name display preferences;
• analytics and service measurement when analytics providers are enabled.

The ClipMind session cookie is an HTTP-only, secure cookie and normally expires after 30 days unless you sign out earlier. You can control cookies through your browser settings, but disabling essential cookies may prevent account features from working.

We do not use cookies for targeted advertising, cross-site tracking, or retargeting.

Analytics

In production, ClipMind may use Google Analytics and OpenPanel if the relevant analytics configuration is enabled. These services may process usage events, page views, referrers, device information, approximate location, and interaction data to help us understand and improve the Service.

We do not intentionally send uploaded video content, transcripts, payment card data, or password data to analytics providers.

You can use browser settings, ad and analytics controls offered by providers, or privacy tools to limit analytics collection where available. You may also use the Google Analytics opt-out browser add-on available at https://tools.google.com/dlpage/gaoptout.

Do Not Track

ClipMind does not currently respond to browser "Do Not Track" (DNT) signals because no uniform standard for DNT signals has been adopted. You may control analytics collection through the mechanisms described in the Analytics section.

How We Share Information

We may share information with:

• infrastructure providers, including Cloudflare and Alibaba Cloud, for hosting, storage, databases, routing, security, queueing, compute, object storage, and logs;
• AI and media processing providers, including DashScope, Qwen, CosyVoice, ASR services, and compute runners, for video, audio, text, vision, embedding, voice, and export features;
• authentication providers, including Google, for sign-in;
• payment processors and billing platforms, including Creem and any configured payment provider, for checkout, subscriptions, invoices, refunds, tax, and fraud prevention;
• analytics providers, including Google Analytics and OpenPanel, where enabled;
• support, security, operations, professional, legal, accounting, and compliance service providers;
• law enforcement, regulators, courts, or other parties when we believe disclosure is required by law or necessary to protect rights, safety, security, or the integrity of the Service;
• a buyer, successor, or other relevant party in connection with a merger, acquisition, financing, restructuring, bankruptcy, or sale of assets.

We require service providers to process personal information only for authorized purposes and under appropriate confidentiality, security, and data protection obligations.

ClipMind does not sell personal information for monetary consideration. We do not share personal information for cross-context behavioral advertising.

Data Retention

We keep information for as long as reasonably necessary for the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law.

Typical retention rules include:

• account records are kept while your account is active and for a reasonable period after closure where needed for security, legal, tax, accounting, dispute, or enforcement purposes;
• session cookies normally expire after 30 days;
• project files, uploaded content, generated assets, transcripts, reverse scripts, and export records are kept while the project or account remains active, unless deleted earlier by you or by system lifecycle rules;
• temporary mirrors, intermediate artifacts, queue records, and processing copies may be retained while needed for processing, retry, debugging, recovery, or audit, and then deleted or overwritten according to operational lifecycle rules;
• billing, tax, invoice, order, payment event, and subscription records may be retained for the legally required accounting and tax period;
• security, abuse, diagnostic, and operational logs are retained as needed to protect the Service, investigate incidents, comply with law, and maintain reliability;
• backups may retain deleted information for a limited period before they expire or are overwritten.

When you delete a project, ClipMind attempts to delete the project database records and associated storage objects under ClipMind-controlled storage. Some information may remain in backups, logs, payment records, or legal records where retention is necessary.

Inactive Accounts

ClipMind may delete projects and associated User Content for accounts that remain inactive for an extended period, as determined by our then-current data lifecycle policies. Where reasonably practicable, we will provide notice before deletion.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information, including:

• HTTPS encryption for all data in transit;
• secure, HTTP-only, signed session cookies;
• access controls and authentication mechanisms;
• encrypted data at rest where supported by providers;
• provider credentials and secrets management;
• audit records and operational monitoring;
• incident response procedures;
• regular security reviews of infrastructure and code.

No internet service can be guaranteed to be completely secure. You are responsible for keeping your account credentials secure and for notifying us if you believe your account has been compromised.

Data Breach Notification

If ClipMind becomes aware of a security breach that results in the unauthorized access, disclosure, or acquisition of personal information, we will take reasonable steps to investigate, remediate, and notify affected users and relevant regulators as required by applicable law.

International Transfers

ClipMind and its service providers may process information in the United States, Singapore, the European Economic Area, China, and other locations where we or our providers operate. Data protection laws in those locations may differ from the laws where you live.

Where required, we rely on:

• Standard Contractual Clauses (SCCs) adopted by the European Commission;
• the EU-US Data Privacy Framework (DPF) and UK Extension where applicable;
• other legally recognized transfer mechanisms;

Some requests may be limited by legal, security, fraud-prevention, billing, tax, dispute, backup, or technical requirements. If we cannot fulfill your request, we will explain the reason where permitted.

Appeal Process

No Sale or Sharing

ClipMind does not sell personal information for monetary consideration. ClipMind does not share personal information for cross-context behavioral advertising. ClipMind does not knowingly sell or share personal information of minors under 16. We have no actual knowledge of selling or sharing personal information of minors.

Rights Under CCPA/CPRA
